Terms and Conditions
Pinnacle Golf Tours hereby undertakes to provide the services offered strictly subject to the terms and conditions contained below. These terms and conditions are deemed to be accepted by the client upon payment of the prescribed deposit by the client. All tours and prices are subject to change and availability. For the purposes of these terms and conditions, the word client is used to identify any person who is participating in a Pinnacle Golf Tours tour.
MAKING A RESERVATION:
- Your reservation with Pinnacle Golf Tours can be confirmed, either directly via our website, or with your local travel agent.
- You will then have 72 hours, from the time of this reservation, to pay a non-refundable deposit of 20% of the total tour price.
- The balance of the tour price outstanding is to be paid in full 8 weeks prior to the commencement of the tour, or immediately if the tour is less than 8 weeks until departure
- Only when the full cost of the tour has been paid will Pinnacle Golf Tours guarantee the price of the land arrangements.
- Pinnacle Golf Tours reserves the right to cancel all services, it may already have booked, should full payment not be received 8 weeks prior to departure. In this event the deposit will be forfeited.
- Reservations held by Pinnacle Golf Tours which have not been secured by payment of a 20% deposit may be cancelled by Pinnacle Golf Tours in order to accommodate other bookings.
- If Pinnacle Golf Tours is required to reserve domestic (South African) flight tickets, full payment must be made to Pinnacle Golf Tours in order for Pinnacle Golf Tours to arrange for issue of the tickets. Airfare prices will not be guaranteed until payment is made in full.
- Pinnacle Golf Tours will only confirm a booking when proof of the necessary deposit is received.
- The service fee levied by Pinnacle Golf Tours for its services is included in the tour price.
- All pricing & itineraries are subject to final confirmation.
METHODS OF PAYMENT:
You will be able to pay the deposit & the balance of the tour price either by credit card, via our website, or by direct EFT deposit into our bank account. For your convenience, an EFT (electronic funds transfer) can be made into our UK bank, or, if you prefer, our Cape Town account. Full banking details will appear at the foot of our invoice. It will take up to 5 working days for your deposit or balance of payment to be reflected in our account so please immediately fax or email a copy of your deposit slip to Pinnacle Golf Tours. Your deposit slip must contain your unique tour code reference number in order for us to identify the payment. Only when written proof of payment is received by Pinnacle Golf Tours will the payment be acknowledged & verified.
TOUR PRICE - WHAT IS INCLUDED / EXCLUDED:
All Pinnacle Golf Tours tour prices include the following:-
- Accommodation (room only)
- All specified breakfasts, lunches & dinners
- Halfway house meal or light lunch when playing a round of golf
- Transportation in air conditioned busses for the guided tours
- Provision of a hire car, including unlimited mileage, for the self-drive tours (please note that the actual choice of the type of vehicle, plus any extras - such as child seats etc. - will be specified by the client upon reservation of the tour, although the actual booking will be carried out by Pinnacle Golf Tours.
- Provision of a pre-programmed Garmin satellite navigation unit plus a detailed itinerary with travel directions.
- Green fees, caddy or golf cart fee
- Entrance fees to all specified sightseeing activities & game drives.
Pinnacle Golf Tours tour prices do NOT include the following items:-
- All items of a personal nature, such as, alcoholic beverages, non-alcoholic drinks, laundry costs, telephone calls, mini-bar costs
- International airfares to South Africa
- Travel or medical insurance
- Airport taxes
- Lunches & dinners, unless specified in the tour itinerary
- Costs of obtaining passports or visas (if required)
- Costs of inoculations
- Entertainment not already included in the tour price
CANCELLATION & REFUND POLICY:
Pinnacle Golf Tours will consider each cancellation on its merits but reserves its full rights to enforce the stated cancellation policy, contained herein, irrespective of the prevailing circumstances.
Cancellations will only be deemed to be effective upon receipt of written confirmation.
Should the tour be cancelled, in writing, Pinnacle Golf Tours shall apply the following rules (please note that the deposit is strictly non-refundable in all instances, therefore the following refunds apply only to the balance of the tour price after deduction of the deposit):-
- If cancellation is received 8 weeks or more prior to the departure date, 15% of the cost of the tour (excluding the deposit) will be forfeited.
- If cancellation is received between 4 and 8 weeks prior to the departure date, 25% of the cost of the tour (excluding the deposit) will be forfeited.
- If cancellation is received less than 4 weeks prior to the departure date, 100% of the cost of the tour (excluding the deposit) will be forfeited.
- Where there is a "no-show" for a tour, 100% of the cost of the tour (excluding the deposit) will be forfeited.
The above also depends on the stringency of the cancellation regulations of the other service providers involved with the tour.
As soon as the tour has commenced, there will be no refunds for voluntarily missed items of the tour, meals or other special bookings already made on behalf of the client.
Should the client wish to amend the date of an already booked tour, the new booking must be within 6 months of the original schedule in order to avoid cancellation fees. If the amended tour is then subsequently cancelled at any time, the client will forfeit the entire cost of the tour.
Should Pinnacle Golf Tours have pre-purchased any flight tickets for the client & there is a subsequent cancellation by the client, 25% of the applicable airfare shall be forfeited.
Should a tour have to be cancelled, for whatever reason, by Pinnacle Golf Tours, a full refund, including deposit, will be made to the client.
AMENDMENTS TO TOUR PRICES:
The quoted price of any tour is not guaranteed until the full cost of that tour has been paid to Pinnacle Golf Tours. Until that time, prices quoted are subject to adjustments without advance notice in the event of changes levied by the service providers resulting in cost increases to Pinnacle Golf Tours for items such as hotel charges, fuel prices, VAT, airfares, bed levies, park fees, exchange control or any other circumstance that is outside the direct control of Pinnacle Golf Tours.
All quoted airfares (if Pinnacle Golf Tours is required to book domestic flights for the client) are based upon the lowest class of fare available at the time of the quotation & subject to seats being available in that class, at the time of booking. Should that class of seat subsequently become unavailable, the next higher class will be booked and the amended price advised to the client, who remains responsible for its payment. Pinnacle Golf Tours has no control over the cost of airline tickets & prices may increase between the time of enquiry, booking, payment and the issuing of the ticket. Pinnacle Golf Tours will not be held responsible for any alteration in price, flight time or any other aspect of the airline booking.
AMENDMENTS TO TOUR ITINERARIES:
Pinnacle Golf Tours will do its utmost to ensure that the itineraries of all tours are strictly adhered to. However, as many aspects of the tour are totally beyond our control, we must fully reserve our rights to make any amendments to the tour schedule that are deemed necessary by Pinnacle Golf Tours.
Thus Pinnacle Golf Tours reserve its rights to make any necessary adjustments to any tour itinerary should this become necessary due to unforeseen circumstances imposed on Pinnacle Golf Tours by designated service providers.
Pinnacle Golf Tours cannot be held responsible for any cancellation of any aspect of the tour due to bad weather or any other act of nature effecting the provision of a pre-booked service.
Pinnacle Golf Tours cannot be held responsible should an airline discontinue flights or change scheduled timetables resulting in missed connections.
TRAVEL & MEDICAL INSURANCE:
All clients are solely responsible for ensuring that they take out comprehensive insurance against all possible travel & medical risks, which should include medical care, personal accident, death, loss of luggage, theft, loss of personal effects, emergency travel arrangements and cancellation or curtailment of the tour.
PASSPORTS, VISAS, VACCINATIONS & TRAVEL DOCUMENTS:
All clients must ensure that their passport remains valid for a minimum of 6 months after the date of return to their home country.
Visas and immunisation requirements vary from country to country. It is the sole responsibility of the client to ascertain any specific visa or vaccination requirements prior to commencement of the tour.
If any travel documents, such as itineraries, vouchers, brochures or the like are required to be couriered or mailed to the client, the cost will be borne by the client.
DIETARY & HEALTH REQUIREMENTS:
All dietary requirements can be catered for. If a client has a specific dietary requirement, it will be his / her sole responsibility to inform Pinnacle Golf Tours prior to finalisation of the tour booking. This means that when the balance of the tour price, less the deposit, is paid 8 weeks prior to commencement of the tour, Pinnacle Golf Tours must be made aware of any special dietary needs.
Pinnacle Golf Tours will do its utmost to ensure that any special request is met, but will not be held responsible for any omission or mistake made by any of the service providers.
Special food, such as kosher meals, is likely to incur additional costs which will be for the clients account.
Pinnacle Golf Tours will not be held responsible should a client fail to divulge any special dietary need or any pre-existing medical condition that could or does cause some form of disruption to the tour.
BAGGAGE:
It is the sole responsibility of the client to ensure that baggage limitations are strictly adhered to or in the event of exceeding these limits, to be prepared to pay an excess baggage charge.
Generally the South African internal domestic flights restrict each passenger to 20Kg. of luggage in the hold plus 1 bag of hand luggage which can be carried on to the plane.
RESPONSIBILITY:
Under no circumstances will Pinnacle Golf Tours be held responsible for injuries or damages sustained by a client participating in a tour as a result of an act of negligence by any hotel, mode of transport or any other service provider, even though Pinnacle Golf Tours acted as an agent of said service provider. Similarly, Pinnacle Golf Tours will not be held responsible for any failing on behalf of any scheduled service provider to render the full and specified service. Pinnacle Golf Tours will not be responsible for any additional expenditure as a result of failure by a scheduled service provider to render the specified service or services.
Pinnacle Golf Tours cannot be deemed as responsible for any delays arising from accidents, vehicle malfunctions or similar, even if such delay may jeopardise part of the tour.
It is the sole responsibility of the client to ensure that they arrive at any airport in sufficient time to check in for their flight. As a general guide, this should be at least 3 hours prior to an international flight and 1 hour prior to a domestic flight. Late check in may result in cancellation of the flight booking, in which case Pinnacle Golf Tours will not be held responsible. All onward flight re-confirmations, if required, are the responsibility of the client.
Pinnacle Golf Tours will not be held responsible for the theft, loss or damage to hired vehicles, hired sports equipment, any personal items or luggage throughout the duration of the tour.
These terms and conditions will be deemed to have been accepted by the client upon payment of the deposit to secure the tour booking.
POLICY REGARDING CLIENT PRIVACY:
Pinnacle Golf Tours will treat all personal information provided by the client in the strictest confidence. No personal information will be made available to any third party, unless Pinnacle Golf Tours is obliged by law to do so.
Pinnacle Golf Tours will send emails to clients who have participated in a tour to inform them of news and future special offers. However, the client is entitled at any stage to request Pinnacle Golf Tours to remove their name from their mailing list.
DISCLOSURE:
The relationship between Pinnacle Golf Tours and the client shall be governed solely by the Law of South Africa. The Courts of South Africa shall have sole jurisdiction in respect of any claims or disputes between the client, Pinnacle Golf Tours or any service provider scheduled to offer specified services.
The client upon payment of the deposit accepts these terms and conditions and accepts that participation in an advertised tour could result in certain risks which are outside the control of Pinnacle Golf Tours. It should be clearly understood that parts of a tour may necessitate certain risks such as, but not limited to, travelling in underdeveloped areas, forces of nature, political unrest, or accident and/or illness in remote regions without adequate medical facilities or means of prompt evacuation. In such instance, Pinnacle Golf Tours will not be held responsible for the provision of medical care and is not responsible for the quality of the medical care provided.
By acceptance and payment of the Pinnacle Golf Tours tour the client acts as a voluntary participant in the advertised programme with full knowledge of possible dangers involved and hereby agrees to accept any risks.
